Company C misjudges the competition and chooses the wrong employee to fill the position vacant. The employee works without compensation for a few weeks. Company D overlooked the fact that its sales guy was not receiving many customers and so cancelled his account.
Let us take the example of Company E. Company E hired a new salesman who had joined the company only a few months earlier. He was supposed to improve the sales department. However, the salesman failed to meet the targets and this resulted in his dismissal. Company E made use of this error to save face.
This is just one example. All these mistakes are made because the executives do not properly plan and set up meetings. They either forget to remind their employees about their meetings or they fail to make use of an effective system to remind them. They also make it a habit of interviewing the wrong candidate, which leads to the same mistake being repeated over again.
Remember, it is impossible to hold a company function successfully without planning and organization. It is therefore essential to have a proper meeting schedule that includes the proper distribution of minutes of the meeting, and announcements. You must also have a proper procedure for recording the entire proceedings so that the minutes of the meeting can be later used as reference materials or for filing of the minutes. The entire meeting should be recorded in full detail including all the discussion that took place. This is one error that can cost you a lot of money and damage your reputation in the industry.
You should also provide your employees with handouts to take away what was discussed at the meeting. This is because everybody is busy and it would not be easy to explain everything to everyone. The handout should include the main points that were discussed so that you can reproduce them as a reminder at every meeting. This will help your employees to remember the important points of the meeting and it will help you concentrate on the things that you need to improve instead of worrying about the discussions that took place. Finally, distribute a small leaflet to your employees before the meeting. This will help you improve communication among your employees and you can use it to explain the procedures that will be followed to implement improvements.
